Assuming you're talking about a simple system to help you out
personally, not a comprehensive flight program database system. If you
have a Palm Pilot (or are even thinking about getting one), you can
easily create this type of database. I highly recommend HanDBase
(www.handbase.com) but there are many others that are similar.

We built a database to handle all the hospitals, addresses, phone
numbers, fax numbers, elevator codes, etc. It would be simple to make
one that tracks flight number, basic follow-up info (hospital name,
address, Dr & staff names, patient type, etc.) and a checkbox for when
a follow-up letter has been sent.

If you're talking about a program that would run on your desktop
computer, there are a number of ways to do this too, depending on what
programs you have access to already or how much money you want to
spend. Another thing we've done is to build a template for MS Word
that asks for the typical follow-up letter information (flight date,
addressee, flight crew, etc.) that we use right after the flight has
been completed. We just pull up the saved letter file and add the
follow-up report later on. This way, we don't really have to track the
information you're talking about; just the flight number and whether
the letter is done or not.
